Administrator Vacancy

Preston City Council is seeking to appoint a freelance Administrator to support delivery of Lancashire Encounter festival 17 September – 2 October 2021. The Administrator will work closely with the Executive Producer and Preston City Council events team. This role will perform an administrative function across all aspects of the organisation to include marketing, ticketing, production and scheduling.

Lancashire Encounter aspires to be an audience development and commissioning agency that celebrates the creativity, innovation and practical know-how of the county’s arts, cultural and creative community through its flagship biennial festival. Its mission is to reflect the county’s pride in making together and to drive tourism and productivity.

Encounter’s ambition is to be a model of good practice for co-created, socially engaged, imaginative, multi-community processions, steeped in English history and tradition but with knowledge exchange partnerships with processional participatory practice worldwide.

Working within Covid restrictions as necessary at the time of the festival delivery will be over an extended period of two weeks from the weekend of the 17th September and culminating with the parade on Saturday 2nd October. The festival will be an authentic voice for Lancashire, which celebrates the breadth of the County’s diverse cultural offer with a high quality, high profile arts festival and invites nationally significant artists to Lancashire.

The role will mainly be working remotely throughout July and August with ad hoc face to face meetings as necessary being held at the Harris, or in Preston City Centre. Through September and October the role will be expected to be on the festival site if necessary and to support face to face delivery of events.

About the role

The role is:

  • Part Time

  • Duration: 30 days averaging 2 days per week July – August and up to 4 days per week during festival delivery period.

  • Fee: £150 per day in monthly instalments paid through submission of invoice.

  • Reporting to Executive Producer

  • Total contract £4500


  • To administrate the festival schedule in liaison with the Executive Producer, PCC events staff, artists and community groups.
  • To complete and distribute contracts

  • Be main co-ordination contact for professional performers, community groups and artists through the festival period.

  • Develop, coordinate and disseminate key information re the festival to participants about workshops, rehearsals, key

  • dates and logistics

  • To schedule meetings, take minutes, distribute agendas etc.

  • To supplement marketing and box office activity in line with the marketing plan.

  • To work closely with festival volunteers as necessary.

  • Set-up and administer systems for collecting evaluation data.

  • To build a contacts database within PCC GDPR guidelines.

  • To manage aspects of the budget in liaison with the Executive Producer.

  • To embed the festival vision across all aspects of delivery working with the artists, communications and community groups.

  • To work closely with the PCC communications team.

  • To attend and minute meetings with key festival production staff.

  • To schedule workshops as required for engaged delivery programmes.
